SENIOR EXECUTIVE ASSISTANT

Team/Role Overview 

There is an opportunity in our Legal team for a Senior Executive Assistant (EA) to provide proactive and professional support and report to the Legal Head of Banking and International at Citigroup. It will be based in London.

The individual filling this role will be responsible for handling correspondence, managing calendars and appointments, arranging meetings and conference calls, making travel arrangements and providing other administrative tasks. In addition, they will assist the Legal Head of Banking and International with preparation of materials (including reports and presentations) and gathering of pertinent information.

 

What you’ll do

  • Directly support a Senior MD-level manager on a 1:1 basis and helping support an entire department; Managing day to day calendar
  • Coordinates all aspects of executive level manager appointments, meetings, receptions and conference calls
  • Assist with creation/modification of presentations, spreadsheets, and other various documents; May prepare and review materials and correspondence for meetings
  • Coordinates travel arrangements; prepare and distribute schedules/agendas for travel
  • Prepares, reconciles, and tracks expense reports through Travel and Entertainment Expense system
  • Orders supplies and process invoices through Procure to Pay system; Process and follow-up on Virtual Requests; Assists in ad-hoc reports special projects as needed
  • Trains, coaches or guides other administrative staff when required
  • Appropriately assess risk when business decisions are made, demonstrating particular consideration for the firm’s reputation and safeguarding Citigroup, its clients and assets, by driving compliance with applicable laws, rules and regulations, adhering to Policy, applying sound ethical judgment regarding personal behaviour, conduct and business practices, and escalating, managing and reporting control issues with transparency

 

What we’ll need from you

  • Previous Executive Assistant experience preferably within a global, large and complex financial services or similar organization
  • Highly proficient in Microsoft Office, specifically with Excel, PowerPoint and Outlook
  • Consistently demonstrates clear and concise written and verbal communication skills
  • Must excel at multitasking (organizational skills), to handle multiple and competing demands with tight deadlines
  • Ability to work independently and proactively with minimal supervision, with demonstrated sound judgment
  • Ability to prioritise and escalate if conflicting priorities cannot be managed
  • Demonstrated ability to quickly gain command of new systems
  • Self-motivated and detail oriented
