RECEPTIONIST 

 

Belfast

We are currently seeking a Receptionist to join our Belfast office. As a Receptionist, you will be the first point of contact for clients and visitors, providing excellent customer service and ensuring the smooth running of the reception area. This is a key role within the firm and requires a friendly and professional manner, exceptional communication skills, and the ability to handle a wide range of tasks in a fast-paced environment.

 

Responsibilities of the Receptionist include:

Meeting and greeting clients

Answering, screening, and forwarding incoming phone calls of a busy switchboard

Managing the reception area, ensuring it is clean and tidy at all times

Managing meeting room bookings and maintaining the meeting room schedule, ensuring all boardrooms are set up for each meeting

Liaising with other departments/facilities within the firm as appropriate to ensure all necessary equipment etc. is in place for meetings/functions

Managing catering and supplier orders for meetings and events

Assisting with administrative tasks, including sorting and distributing mail, ordering office supplies, and organising courier services

Assisting with ISO, H&S, Fire Warden tasks and duties

Assisting with ad-hoc administrative duties and any other tasks that may be required

We are looking for a proactive and professional individual who has excellent communication and organisational skills. The ideal candidate should have:

Previous experience in a receptionist or customer service role

Excellent verbal and written communication skills

A friendly and approachable manner

The ability to multitask and prioritise tasks effectively

Proficiency in using Microsoft Office applications, including Outlook, Word, and Excel

Strong attention to detail and the ability to maintain confidentiality

An enthusiastic and proactive attitude

A willingness to become a First Aider and Fire Warden (training will be provided)

A knowledge of workplace Health & Safety and Fire Evacuation procedures is desirable

Experience in a professional services environment would be advantageous, but not essential. A&L Goodbody is committed to providing an inclusive and supportive work environment.

 

Office hours

The reception and switch area opens at 8.00am and closes at 6.00pm. A rota system is in place, and flexibility is required to ensure this area is manned during these times.
