Your new role

National Highways have an exciting opportunity for a Personal Assistant to join the Complex Infrastructure Programme (CIP) within our Major Projects directorate.

We’re looking for a Personal Assistant to support 2-3 Directors and provide administrative support to their teams.

While you will be predominantly based on one of the selected locations, a small degree of travel will be required to support the Directors and meetings and events as necessary.

National Highways operates a hybrid working policy so a minimum of 40% of time must be spent in the office (typically Wednesday and Thursday) and up to 60% of time will be working at a non-office workstation, usually home.

What you’ll be leading on

  • Diary management of the Directors, handling conflicting demands to maximise the Directors efficiency and factoring in travel plans
  • Manging the Directors’ inbox, monitoring emails and bringing deadlines to the Director’s attention.
  • Booking all travel arrangements for the Directors (eg. booking trains, hire cars, meeting rooms, hotels, venues etc).
  • Collating and submitting expense claims on behalf of the Directors.
  • Providing secretariat support for the Directors: setting up meetings in diaries, in advance, with correct attendees. Taking actions/notes at selected meetings and following up outstanding actions to ensure deadlines are met.
  • Logistics for meetings such as the monthly team meetings, including coordinating agenda, collecting and formatting all the presentation material and securing the presenters, when applicable.
  • Any other general administrative support across a variety of mediums for directors as requested.
  • Support the Directors in creating an inclusive, friendly and safe environment for their teams.

To be successful you’ll need

  • Previous experience of working in a personal assistant role or similar role supporting Executive members of staff.
  • Proven ability to work effectively with others in a proactive manner and/or delivering an efficient customer service
  • Proven experience in confidently using Office 365, including Teams, Excel, PowerPoint and One Note
  • To demonstrate extensive diary management experience and be confident organising meetings, taking notes, preparing presentations and co-ordinating events
  • To demonstrate the ability to be discrete and trustworthy as you may be dealing with confidential information.
  • To be a confident individual, capable of multi-tasking on a day to day basis.

A bit about us

At National Highways we believe in a connected country. We are passionate about creating a culture where colleagues feel connected, included and enjoy greater wellbeing to achieve this. We’re proud that as an organisation we are continually striving to do better and actively encourage and support our colleagues to do the same with their careers.

CIP is responsible for delivering some of the country’s largest and most complex infrastructure projects, which attract a vast amount of Government and public interest. We also have a ‘Pipeline’ of projects in the early stages of development for potential delivery at the next Road Investment Periods (from 2025 and beyond).
